Clients will receive a detailed itinerary that outlines the destinations and experiences included in their safari. While we strive to provide all agreed-upon services, unforeseen circumstances—such as road closures, inclement weather, or security issues—may necessitate changes to the itinerary. In such cases, GAIA SAFARI will inform clients promptly and arrange alternatives as needed, while making every effort to maintain the itinerary's quality and character.
Clients should be aware that conditions in Tanzania may differ from those in developed countries. This includes potential, unannounced changes to government-regulated fees and taxes, such as national park entry fees. GAIA SAFARI reserves the right to pass these local taxes and fees on to clients.
Upon confirming your booking, you will receive an invoice detailing all aspects of your trip. To secure your reservation, a 25% deposit of the itinerary cost is required, along with full payment for airline tickets. The remaining balance must be settled 65 days before your itinerary begins. For bookings made within 65 days of departure, full prepayment is required at the time of confirmation.
Payments can be made via bank wire or transfer.
In the event of cancellation, either full or partial, the following charges will apply:
Cancellation up to 65 days prior arrival date: free of charge except for any airline charges.
Cancellation from the 64th day to the arrival date: 100% of the total cost of the reservation will be charged.
No show, any cancellation or change done on site: 100% of the total cost of the reservation will be charged.
If you wish to make changes to your itinerary after booking, we will do our best to accommodate your requests based on availability.
All prices listed on the GAIA SAFARI website are per person, based on double occupancy (unless stated otherwise) and quoted in US dollars (USD). Expenses such as passport and visa fees, border taxes, tips for guides and staff, insurance, and personal expenses are not included in the itinerary cost. Discount rates for children and peak season surcharges are also not included. Prices on our website serve as a guideline only and are subject to change without notice. GAIA SAFARI will specify all costs in the itineraries, which are valid for two weeks.
All travel documents—including vouchers, e-tickets, luggage labels, and flyers—will be sent to you two weeks before departure.
It is the guest’s responsibility to ensure they have comprehensive travel and medical insurance for the duration of their trip to Tanzania. This insurance should cover medical expenses, repatriation, and optional coverage for cancellation, emergency evacuation, and loss or theft of personal belongings.
Guests must ensure that their passports and visas are valid for the countries they will visit. Most nationalities can obtain a tourist visa on arrival in Tanzania for $50 per person (US Citizens $100). This visa is valid for three months. Guests can also apply for a visa in advance at their home country’s embassy. It is important to check visa requirements prior to travel. Passports should have at least six months of validity remaining after the final travel date. GAIA SAFARI cannot be held liable for any issues related to visas or travel documents.
Please check the names on your invoice carefully upon receipt. If a name change is required more than three days after you receive the invoice, a fee of 150 $ will apply.
